Patient Services Associate

Job Summary:

We are seeking a dedicated and organized Patient Services Associate to join our dynamic team at a busy orthopedic clinic. This role is crucial in providing excellent customer service, managing patient communication, and ensuring the smooth day-to-day operation of our front office. The ideal candidate will have strong interpersonal skills, attention to detail, and the ability to manage a high volume of tasks in a fast-paced environment.

Key Responsibilities:

  • Serve as the primary point of contact for patients, handling a high volume of incoming calls, emails, faxes and in-person inquiries.
  • Schedule and confirm patient appointments, ensuring efficient use of provider time.
  • Assist with patient check-in and check-out processes, verifying patient information and updating records as necessary.
  • Provide information regarding services, treatments, insurance, and clinic policies.
  • Coordinate patient referrals and communicate with other medical facilities as needed.
  • Assist with managing patient records, entering data, and maintaining confidentiality in accordance with HIPAA guidelines.
  • Handle patient complaints and issues professionally, ensuring that concerns are addressed in a timely manner.
  • Collaborate with clinical and administrative staff to ensure smooth operations and patient satisfaction.
  • Perform other administrative tasks as needed, including filing, faxing, and maintaining office supplies.

 

Qualifications:

  • High school diploma or equivalent required
  • Prior experience in a healthcare setting or customer service role is highly desirable.
  • Strong communication skills, both verbal and written, with professional phone etiquette.
  • Ability to multi-task, prioritize, and maintain accuracy in a busy environment.
  • Basic knowledge of medical terminology and insurance processes is a plus.
  • Proficient in using office software (e.g., Microsoft Office Suite) and scheduling software.
  • Excellent organizational skills with a strong attention to detail.
  • A compassionate and patient-focused attitude.

 

Working Conditions:

  • Full-time position with occasional overtime required.
